Credential Awards: states, filters, and actions
The Awards section (also called Listings) is where you manage every credential your organization has created. It is a single listing you narrow: you pick which states to show, search, and filter, and the counters, the rows and the actions all answer the same question.
To open it, click Awards in the left-side menu.
States
Above the table there is a row of state chips, each with a live counter showing how many credentials match it inside your current search and filters:
- All: everything listed, whatever its state.
- Accepted: credentials that are already issued and live, whether as blockchain credentials or basic credentials.
- Sent: credentials that were sent to their recipients and are waiting to be accepted.
- Pending: credentials loaded to be sent later, or issued by an operator and waiting for an administrator's approval.
- To Sign: credentials waiting for your signature.
- Scheduled: credentials scheduled to be delivered automatically at a future date.
- Revoked: credentials you took out of circulation. They stay listed, marked as no longer valid.
The chips add up rather than replace one another, so you can ask for Sent and Pending at once. Turning them all off is the same as All.
To Sign counts and lists only the credentials waiting on you — the same set the bulk Sign action works on — so the number beside the chip always matches what you can actually sign.
Search and filters
Use the search box to find a specific credential by:
- Document: the recipient's ID number.
- Email: the recipient's email.
- Name: the recipient's full name.
- Bulk send ID: every credential from a single mass-issuance batch.
Beside it, Date narrows by a date range — the last 7, 30 or 90 days, this year, all time, or a custom range you pick on a calendar. The date it filters on is the emission date, or the creation date for credentials that have not been issued yet.
Sort orders the listing by newest or oldest first, by recipient (A–Z or Z–A), or by title.
The Filters button opens a panel with the rest:
- Type: Basic, Verify, or NFT Ownership.
- Changes: any, only those with a change Requested by the recipient, or only the corrections issued after a change was Approved and still waiting to be accepted. Applies to accepted credentials.
- Expired: all of them, or only the expired ones. Applies to every state, so you can combine it with any chip.
- Signature: any, only those with a signature Requested, or only those a signer Rejected. Applies to credentials to sign.
- Design: show only credentials made with a specific design.
- Tag: filter by the tags you have assigned to your credentials.
- Path: filter by learning path, then by module and step, or by the path's final credential.
A group that does not apply to the states you have selected is greyed out and says which chip it belongs to. Every filter you apply appears as a removable chip above the table, and Clear filters empties them all without changing which field you were searching by.
Whatever you ask for, the counters, the rows and the paginator all answer the same query — if a filter narrows the listing to eight credentials, every chip counts inside those eight.
Columns
Each row shows the key details of a credential:
- Recipient: the recipient's name and email.
- Status: which of the states above it is in.
- Title: the credential's title.
- Type: whether it is a Basic, Verify, or NFT Ownership credential.
- Date: when the credential was issued, or created if it has not been issued yet.
- Last activity: the most recent thing that happened to it, and what it is waiting on. A credential with an open change request is marked here, and so is one that was corrected after a change was approved and is waiting for its recipient.
Icons next to the title indicate whether a credential has a custom page or belongs to a learning path.
The detail panel
Click a row to open its detail panel on the right, without leaving the listing. It holds:
- Journey: every milestone the credential went through, with its date — loaded, sent, signed, accepted, issued, shared, corrected, revoked or replaced — and what it is still waiting on.
- Preview: the credential as the recipient sees it.
- Data: the recipient's details, the design, validity dates, tags, the bulk send it came from, and the credential ID.
- Actions: the same actions the row offers.
The panel stays open when you act from it and updates in place, so you can see the result. The one exception is deleting a credential, which removes it from the listing and closes the panel with it.
Actions
On a single credential
Depending on the state and your role, you can:
- Preview the credential as the recipient sees it.
- View on POK: open the public credential page.
- Download the credential as a PDF.
- Resend the email to the recipient (administrators and operators).
- Approve a pending credential to send it (administrators).
- Schedule a pending credential for later, or edit its schedule (administrators).
- Sign a credential that is waiting for your signature.
- Edit the recipient's email (administrators).
- Revoke an issued credential, or Replace it if it belongs to a learning path (administrators). Revoking a credential that is a step of a path would leave the path with a hole, so it is re-issued instead.
- Delete a credential that has not been issued yet, or cancel the send of one that went out but was never accepted (administrators).
- View on the blockchain: open a blockchain credential on the blockchain explorer or NFT marketplace.
Actions that would stop a credential are withheld while it is still being issued, and reappear once it is.
On several credentials at once
Select credentials with the checkboxes, or use Select all to take the whole listing — every credential matching your search and filters, not just the page on screen. A hand-picked selection holds up to 50 credentials at a time; past that, use Select all.
With a selection made, a bar appears over the table offering:
- Send All the pending credentials, with the option to schedule them (administrators).
- Download credentials: the selected credentials themselves, as files.
- Download listing as CSV: their data in a spreadsheet.
- Sign or Reject a batch of credentials awaiting signature.
- Revoke All or Delete All the selected credentials (administrators).
- Manage the schedule of the selected credentials.
Revoked and replaced credentials take no bulk actions; selecting one alongside others leaves it out.
Downloading
Both downloads first ask which language the credentials should come in. A small download arrives straight away; a larger one is prepared in the background and arrives by email when it is ready.
A single download carries up to 30,000 credentials. Past that, POK tells you how far over you are so you can narrow the selection with the search or the filters.
Some actions consume credits: sending blockchain (NFT Ownership) and Verify credentials draws from your available credits, while basic credentials are unlimited.
